The rules for using Redtail, creating records, managing accounts, and handling billing.

1. Definitions

"Service" means Redtail, including the website at redtail.id, account system, record creation, record hosting, public verification pages, and all related features operated by the Operator. Redtail provides infrastructure for publishing and verifying records of physical objects; it does not itself certify authenticity, ownership, condition, custody, value, legality, regulatory compliance, or any underlying claim made in a Record.

"Record" means a structured entry created through the Service by the account that issues it, describing a physical object or document. A Record contains information provided by the User (uploads, title, description, attributes) and, where applicable, a reference to a public anchor transaction on a public ledger.

"Issuer" means the User (typically an organisation, such as a gallery, brand, auction house, or institution) that creates a Record through its account. The Issuer is responsible for the accuracy and lawfulness of the information published in that Record.

"User" means any individual or entity with a Redtail account using the Service, including the natural persons authorised to act on behalf of an organisation that holds an account.

"Consumer" means a natural person who uses the Service for purposes outside their trade, business, craft, or profession, as defined under applicable consumer protection law.

"Business User" means a User who uses the Service in the course of their trade, business, craft, or profession.

"Subscription Plan" means a paid Redtail plan that allows an account to publish Records up to the limits shown on the pricing page. Plans may renew monthly or annually, depending on the option selected at checkout.

"Subscription Fee" means the recurring fee due for a Subscription Plan. Stripe may generate a subscription invoice, Stripe invoice, or payment document for these payments.

"Legacy Charge" means a historical one-off charge created under an earlier per-record billing model. Legacy Charges may remain visible or payable in the billing dashboard, but new authenticated Record publishing is governed by the subscription entitlement model described below.

"Content" means any files, images, PDFs, text, descriptions, and attributes uploaded or entered by a User.

"Full Performance" means the point at which the Service is considered fully performed, as defined in the Right of Withdrawal section below.

2. Purpose of the Service

Redtail allows Users to create, publish, host, and verify Records describing physical items and documents (for example: a photo or PDF, plus a title, description, and attributes).

Each Record may include a transaction hash (tx hash) anchored on the Base blockchain. A "Success" status on BaseScan confirms the transaction was executed on-chain — it does not authenticate the physical item, prove ownership, condition, custody, value, legality, or regulatory compliance. On-chain entries are immutable and cannot be deleted.

BaseScan is a third-party blockchain explorer. If you open a BaseScan link, your browser connects directly to BaseScan, which may receive your IP address and standard browser data.

Records do not represent legal proof of ownership, value, authenticity, origin, condition, custody, legality, or regulatory compliance. Features may change as the Service develops.

3. Accounts & Access

Creating Records through the Service requires a Redtail account. Public verification pages do not require an account to view.

You are responsible for keeping your account credentials secure and for any activity carried out under your account. If your account is held by an organisation, the organisation is responsible for the natural persons it authorises to act on its behalf and for any actions those persons take through the account.

Records can be shared via their public verification page link. Anyone with the link may be able to view the public verification page; treat such links as public.

4. Your Uploads & Content

You are responsible for the Content you upload or submit (including images, PDFs, descriptions, and attributes). You confirm that you own the Content or have permission to use it and to grant us the rights described below.

You retain ownership of your Content. You grant us a limited, non-exclusive, worldwide licence to host, store, display, and transmit your Content solely as needed to operate the Service for you (for example: to generate a draft, store a Record, and display its public verification page). This licence terminates when the Content is deleted from the Service, except for backup copies retained for the period stated in our Privacy Policy and any legal retention obligations.

We do not use Your Content to train AI models, and we do not sell or license Your Content to third parties.

Issuer responsibility for accuracy. The Issuer of a Record is solely responsible for the accuracy and lawfulness of the information published in that Record, including descriptions, attributes, claimed authorship, issuer information, custody statements, and any references to third parties. Redtail does not review or validate the substance of Records before publication.

Subprocessors. To operate the Service, your Content and related metadata are processed by third-party subprocessors described in our Privacy Policy (currently including Supabase for database, authentication, and storage; OpenAI for AI-assisted draft generation; Vercel for hosting; and Stripe for payments). Each subprocessor is engaged under the provider's applicable data processing terms.

Please do not upload sensitive personal data, confidential materials, or anything you would not want stored or potentially shared via a public verification page.

5. No Certification Authority

Redtail does not authenticate physical objects, verify ownership, confirm title, assess condition, custody, value, legality, or regulatory compliance. Redtail is not a certification body, auditor, notified body, public authority, or qualified trust service provider under eIDAS. The Service does not issue official product compliance records (including CE-related conformity records or similar). You agree not to present Records as official certificates of authenticity, conformity records, or independent proof of regulatory compliance.

6. Billing & Payment

Redtail currently uses a subscription model for authenticated Record publishing. Each account may publish one free test Record. After that allowance is used, publishing additional Records requires an active Subscription Plan, unless the account has been granted an administrative or sponsored exemption.

Subscription Plans: Current plans, limits, renewal intervals, and prices are displayed on the pricing page before checkout. Plans may be offered on a monthly or annual basis and may include a fixed number of Records per billing period. Public overage is not currently offered; if you reach the plan limit, you may need to wait for the next billing period or choose a higher plan.

Billing currency: PLN (Polish zloty) is the binding transaction currency unless a checkout page or written agreement clearly states otherwise. Where an approximate EUR equivalent is shown, it is for informational purposes only — it is not an offer, is not binding, and should not be relied upon for payment or accounting.

Payment model: Subscription Fees are paid through Stripe at checkout and renew automatically for the selected billing interval until cancelled. You may cancel a subscription in your Redtail billing dashboard. Unless stated otherwise during cancellation, access remains available until the end of the already paid billing period.

Billing details and invoices: You may provide billing details for invoicing purposes. Billing details may be collected during Stripe Checkout or stored in your account and reused for future billing documents. Stripe may generate subscription invoices, Stripe invoices, or payment documents for subscription payments. Redtail may also keep its own billing records and invoice archive for accounting, support, and legal retention purposes.

Payment method: Payments are processed through Stripe. We do not receive or store your card details.

Failed subscription payments: If a subscription payment fails, your subscription may become past due or inactive. While there is no active subscription entitlement, you may be unable to publish additional Records. Existing Records remain accessible, subject to these Terms and our moderation and security rules.

Legacy one-off billing: Historical one-off per-record charges from the previous billing model may remain visible in your billing history and may still need to be paid if they were validly incurred before the subscription model was introduced. These Legacy Charges are separate from current Subscription Plans.

7. Right of Withdrawal

This section applies to Consumers only. If you are a Business User, this section does not apply to you.

If you enter into a paid contract with us at a distance (i.e. online), you have the right to withdraw from that contract within 14 days without giving any reason.

When you lose the right of withdrawal

During the order process, you are asked to give your express consent for the Service to begin immediately. By giving this consent and completing the order, you acknowledge and agree that you will lose your right of withdrawal once the Service has been fully performed.

When the Service is considered fully performed

The Service is considered fully performed once:

(a) the Record has been created and made available to you (including access to the Record page and its public verification page), and

(b) the on-chain anchor transaction reference has been submitted, where applicable and technically available.

Because Record creation and on-chain submission typically happen immediately or within moments of placing the order, the right of withdrawal is typically lost at the moment of Record creation.

How to exercise withdrawal (before full performance)

If the Service has not yet been fully performed, you may withdraw by sending a clear statement to contact@redtail.id. You may use the following template:

The withdrawal period expires 14 days after the day the contract was concluded. To meet the deadline, it is sufficient to send your withdrawal statement before the period expires.

Legal basis

The right of withdrawal is provided under the EU Consumer Rights Directive (2011/83/EU) and its Polish implementation (Act of 30 May 2014 on Consumer Rights, in particular Art. 27–38). The exception for services fully performed with the consumer's prior express consent is set out in the Directive and the Act. The exact legal qualification of the Service (as a service, digital service, or supply of digital content) and the corresponding exception provision are determined by applicable law.

8. Refunds & Complaints

Refunds

Due to the nature of the Service, refunds are generally not provided once the Service has been fully performed, meaning once the Record has been created and made available to you as described in Section 7.

This does not affect your statutory rights. In particular, nothing in these Terms limits any rights you may have under applicable consumer protection law in the event of non-conformity of the Service, improper performance, or other mandatory legal grounds.

Refunds may be granted in justified cases, including:

  • technical errors preventing proper Record creation or access,
  • duplicate charges or incorrect billing,
  • payments collected in error, or
  • other exceptional situations reviewed on a case-by-case basis.

A refund may be issued in full or in part, depending on the circumstances of the case and the extent to which the Service was performed correctly.

Complaints

If you are dissatisfied with the Service or believe it does not conform to the contract, you may submit a complaint by email to contact@redtail.id.

Please include: a description of the issue, relevant Record link or order details, and your preferred resolution. We will acknowledge your complaint and respond within 14 days for Consumers (or 30 days for Business Users). If we need additional time, we will let you know within the initial period.

Submitting a complaint does not limit your right to pursue other remedies available under applicable law.

9. Service Availability

The Service is under active development. We strive to keep it available and functional, but we do not guarantee uninterrupted or error-free operation. We may modify, suspend, or discontinue features with reasonable notice where feasible.

This does not affect your statutory rights as a Consumer. In particular, if the Service does not conform to the contract, you retain your rights under applicable consumer protection law (including the EU Directive on digital content and digital services, 2019/770, and its Polish implementation).

10. Limitation of Liability

To the extent permitted by applicable law, the Operator's total liability to you for any claims arising from or related to the Service is limited to the total amount you have actually paid to the Operator in the 12 months preceding the event giving rise to the claim.

The Operator is not liable for indirect, incidental, or consequential damages (such as loss of profit, loss of data, or business interruption) except where such exclusion is not permitted by law.

Nothing in these Terms excludes or limits liability for: (a) intentional misconduct or gross negligence; (b) fraud; (c) death or personal injury caused by negligence; or (d) any other liability that cannot be excluded under applicable law. Your statutory Consumer rights remain unaffected.

11. Intellectual Property

The UI design, layout, and codebase belong to the Operator. Your uploaded Content remains your property. Records can be shared via link at the User's discretion.

12. Acceptable Use

You agree not to misuse the Service, including attempts to hack, overload, scrape, reverse engineer, or upload unlawful, fraudulent, infringing, or misleading Content (including impersonation or false claims).

13. Notice & Action (Illegal Content Reports)

If you believe a Record or other content on this Service is illegal, you can submit a notice electronically to contact@redtail.id.

Please include:

  • The URL (link) of the specific Record/content you are reporting.
  • An explanation of why you believe it is illegal (and where relevant, the applicable jurisdiction).
  • Your name (or organisation) and a contact email address.
  • A statement confirming that the information in the notice is accurate and submitted in good faith.

We review notices and may remove or disable access to reported content where appropriate. We may request additional information to process a notice.

14. Content Moderation

To keep the platform safe and lawful, we may remove or disable access to Records, limit sharing, or restrict access in cases of repeated misuse. We aim to act proportionately and may provide a brief explanation when feasible.

15. Privacy

Use of the Service is also governed by our Privacy Policy.

16. Contract Duration & Termination

The contract between you and the Operator is concluded when you accept these Terms during account creation. The contract is for an indefinite period.

Either party may terminate the contract at any time by giving written notice (email is sufficient). Termination does not affect Subscription Fees, Legacy Charges, or other payment obligations already incurred, nor Records already created. On-chain anchor transaction references are immutable and cannot be deleted after termination.

Upon termination, we will delete your account and off-chain data (uploads, Record pages) within 90 days, subject to legal retention obligations described in our Privacy Policy.

17. Changes to These Terms

We may update these Terms from time to time. When we make material changes, we will notify you at least 14 days before the new Terms take effect (by email if you have an account, or by a prominent notice on the Service).

If you do not agree with the updated Terms, you may stop using the Service and terminate the contract before the new Terms take effect. Continued use after the effective date constitutes acceptance.

18. Governing Law & Jurisdiction

These Terms are governed by the laws of Poland. Any disputes will be resolved by the courts of competent jurisdiction in Poland.

If you are a Consumer habitually resident in the EU, you additionally benefit from the mandatory consumer protection provisions of your country of residence. Nothing in these Terms deprives you of that protection.

19. Dispute Resolution

If you are a Consumer, you may seek assistance from competent consumer protection or alternative dispute resolution bodies available in your country or in Poland.

We are also open to resolving disputes through mediation or other amicable means before resorting to court proceedings.
